How to request baby knitwear samples before a bulk order

Decide what the sample needs to answer

A sample request works best when it has a purpose. You may want to understand the yarn, inspect a fastening, compare a size or review a label placement. Choose the reference product and write down the questions that a photograph cannot answer. If several styles use different materials or construction, ask which samples would make the comparison most useful.

Send a complete sample brief

Include the product link, requested size and color, delivery destination and any customization you want to review. State whether you need an existing reference sample or a newly developed version. Provide your size chart or label artwork when relevant. Ask the supplier to confirm which details can be represented by the proposed sample and which will still need separate approval.

Confirm fees, shipping and timing

Ask for the sample charge, any development fee, the delivery cost and the payment arrangement. Confirm whether a sample fee can be credited against a later order; do not assume that it can. Separate sample preparation from transport time, and confirm when each period starts. Mimixiong sample availability and terms are confirmed by enquiry rather than promised by the reference catalog.

Review the sample against a written checklist

Record the sample’s product reference, stated composition, measured dimensions, color, construction and finishing. Compare those details with the brief. Check labels and packaging if they form part of the intended order. If you plan to assess washing or care, first obtain the supplier’s instructions for the exact material and record what you did so any observations can be discussed consistently.

Keep revisions and approval unambiguous

Photograph and describe any detail that needs a change. Number the revision requests and ask for a clear response to each one. Retain the approved sample and the final written specification together, including the measurements and any tolerances that you agree. An approval should identify the version being approved; a general message saying that a style looks good can leave important details unresolved.

Confirm the production quote separately

Sample approval is one part of the decision. Before a bulk order, confirm the quantity breakdown, minimums, price, availability, production schedule, inspection arrangements and delivery terms. Ask the supplier to identify any proposed change from the approved sample before production. This keeps the product you reviewed connected to the order you ultimately agree to buy.
